Event Submission Policy

Hudson Happenings is a community-wide events calendar created to highlight activities that bring the Hudson community together. To ensure the calendar remains inclusive, positive, and useful for residents, all submitted events must meet the following guidelines.

Eligibility Requirements

  • Events must be produced or hosted by a nonprofit 501(c)(3) organization that serves the Hudson community.
  • Events must take place within the City of Hudson.
  • Events must be open to the general public, with or without an admission fee.
  • Retail, for-profit, and commercial events are not permitted.
  • Events hosted by religious organizations may be included only if they are non-religious in nature and open to the general public.
  • Government meetings, notices, or official proceedings will not be included in the submission request.

Content Guidelines

  • Event descriptions must be limited to a maximum of 150 characters.
  • All submitted content must be positive in nature and focused on community engagement, celebration, learning, and collaboration.
  • Content must not include any discussion, promotion, or opinions related to:
    • Politics
    • Advocacy or lobbying
    • Controversial, divisive, or inflammatory topics
  • All information must be accurate and clearly written.

Images and Media

  • Photos submitted with events must be owned by or have permission from the submitting organization.
  • Suggested image size:  should be at least 940 x 557px
  • Images should be appropriate for a general audience and relevant to the event.
  • By submitting images, organizations confirm they have the right to use and share them publicly.

Submission and Review Process

  • All event information must be submitted by local nonprofit organizations through the event submission form.
  • Submissions are reviewed and approved by HCF prior to posting.
  • HCF reserves the right to:
    • Edit content for clarity, length, or consistency
    • Decline or remove events that do not meet these guidelines
    • Remove events if information is found to be inaccurate or misleading

General Guidelines

  • Submission of an event does not guarantee inclusion on the calendar.
  • Events must align with the mission of Hudson Happenings to enhance quality of life and strengthen community connections.
  • Hudson Happenings is not responsible for event changes, cancellations, or outcomes.

Policy Updates

HCF reserves the right to modify this Event Submission Policy at any time. Contributors will be notified of significant changes, and the most current version of the policy will be posted on the HCF website. Submission of content after the effective date of revised guidelines constitutes acceptance of the updated policy.


Responsibility and Hold Harmless

By submitting an event to Hudson Happenings, the submitting organization affirms that all information provided is accurate, complete, and compliant with this Event Submission Policy. The submitting organization assumes full responsibility for the content of its event listing, including descriptions, images, links, and any related materials.

Hudson Happenings and Hudson Community Foundation are not responsible for content that does not comply with these guidelines, nor for errors, omissions, or misrepresentations made by submitting organizations. Submission and publication of an event do not constitute endorsement by Hudson Happenings or Hudson Community Foundation.

By submitting content, organizations agree to indemnify and hold harmless Hudson Community Foundation from any claims, damages, or liabilities arising from the event listing, the event itself, or the organization’s failure to comply with this policy or applicable laws.
